The Photocoop — Staff Event Contribution Policy
The Photocoop wants to provide staff with the opportunity to host their own events in the studio at a discounted rate while ensuring that each event contributes to keeping the space open, maintained, clean, and available for everyone.
Staff may fulfill their event contribution financially or through approved studio supplies, as long as those supplies are currently needed by the studio. Once The Photocoop has enough of a particular supply, additional quantities will no longer be accepted in place of payment.
4-Hour Staff Event — $200 Value
Staff may choose one of the following:
Option A — Financial Contribution
$200 staff event fee
Option B — Studio Supply Contribution
1 gallon of white floor paint
1 gallon of white wall paint
1 gallon of grey floor paint
3 paint rollers
8-Hour Staff Event — $400 Value
Staff may choose one of the following:
Option A — Financial Contribution
$400 staff event fee
Option B — Studio Supply + Maintenance Contribution
Mopping/cleaning supplies needed by the studio
1 gallon of white floor paint
1 gallon of white wall paint
1 gallon of grey floor paint
3 paint rollers
Repaint the studio areas designated by management
Additional Time — $50/Hour
Any time needed beyond the originally reserved 4-hour or 8-hour event block will be charged at $50 per additional hour.
This includes additional time needed for: Event setup, The event itself, Breakdown & Cleaning and resetting the studio. Staff should reserve enough time to complete their entire event, including setup and cleanup.
Reset to Zero
Following every staff-hosted event, The Photocoop must be cleaned and fully reset to zero. The reset must be completed either the same day the event/show ends or by the end of the following day.
Resetting the studio to zero includes:
Removing all event-specific decorations, signage, installations, equipment, and materials
Removing all trash and event-related items
Cleaning and mopping all areas used during the event
Returning furniture, props, equipment, and other studio items to their designated locations
Repainting any areas that are required to be restored
Returning the studio to its standard layout and condition so that it is ready for normal rentals and studio use
The staff member hosting the event is responsible for making sure the reset is completed, even if other staff members, event participants, or volunteers assist with cleanup.
Failure to Reset the Space
The Photocoop relies on the studio being available and ready for other staff members, clients, and rentals. Leaving the space in an event setup beyond the allowed reset period directly impacts everyone else's ability to use the studio.
If the space has not been fully reset to zero by the end of the following day:
2 hours will be deducted from the staff member's available studio hours for each additional day the space remains out of its standard condition.
The deduction will continue at 2 studio hours per day until the space has been completely reset to zero.
If the space remains out of its standard condition for more than 4 days, the staff member will be asked to discontinue their use of The Photocoop going forward.
The purpose of these consequences is to protect the availability and operation of the studio. Staff-hosted events cannot interfere with the studio's ability to accommodate rentals, clients, other staff members, or scheduled productions.
General Requirements
All staff events must be approved and scheduled in advance.
The staff member hosting the event is responsible for their guests and the overall condition of the studio.
Any damage beyond normal wear and tear is the responsibility of the staff member hosting the event.
Supplies must be approved before they are purchased to ensure the studio actually needs them.
Once The Photocoop has enough of a particular supply, management may substitute another studio need of comparable value or require the financial contribution instead.
Staff event rates are discounted rates specifically for The Photocoop staff and do not establish public event rental pricing.
All staff events are subject to the Reset to Zero requirement.
Why We Have This Policy
Staff events should contribute back to The Photocoop.
The purpose of this policy isn't simply to charge staff for using the studio. Events create additional wear on the space and require supplies, cleaning, painting, utilities, and general upkeep.
By contributing financially or providing needed supplies and maintenance, staff-hosted events help offset those costs and contribute directly toward keeping The Photocoop open, maintained, and available for everyone to create in.
Garbage, Cleanup & Common Areas
Your responsibility for cleaning up after your event includes The Photocoop as well as all interior and exterior areas affected by your event or guests.
After your event, the host is responsible for checking and cleaning:
The Photocoop studio space
Stairwells
Hallways
Bathrooms
Entrances and exits
Parking lots
Loading and unloading areas
Any other interior or exterior common areas affected or used by event guests
This includes removing cups, bottles, food, decorations, spills, paper products, cigarette waste, packaging, and any other garbage or mess resulting from your event.
All garbage generated by your event must leave the property with you. Event garbage may not be left inside The Photocoop, in studio garbage cans, bathrooms, hallways, stairwells, parking lots, loading areas, common areas, or anywhere else on the property.
Before leaving, the event host must complete a final walkthrough of the studio, bathrooms, hallways, stairwells, entrances, parking areas, and loading areas to ensure that nothing from the event has been left behind.
This is especially important for our exterior areas. We share this property with neighboring businesses, and your event cannot create additional cleanup, obstructions, noise, or other inconveniences for our neighbors.
If your guests leave bottles, cups, food, cigarette waste, decorations, or other garbage in the parking lot or loading areas, it is the event host's responsibility to remove it, regardless of which individual guest left it behind.
If additional cleaning is required because of your event or guests, the responsibility falls on the event host.
Your event does not end when the last guest leaves. Your responsibility ends when the studio and all affected areas of the property have been cleaned, cleared, and properly reset.
